Tourism here is run at a distance: a booking taken in Harare for a camp six hours away, staffed by people who live on site, supplied once a week, paid months later by an agent abroad. Eigenstate Systems builds the operational layer that closes that distance, using the cameras, handsets, tills and trackers a property already owns.

The enquiry is won or lost the same evening

Direct enquiries arrive on WhatsApp, usually after hours, from someone comparing three properties at once. Reply at nine the next morning and the booking is gone. An AI agent answers availability, rates and what is included, holds a provisional booking, and hands anything unusual to a named person with the conversation attached — the pattern already in production as Harris Auto's Front Door concierge.

Remote camps: the operation head office cannot see

Computer vision — software reading footage from cameras already installed — can evidence what came off the supply truck and watch the fuel bowser and the stores door. Bluetooth tags say where generators, boats and game-drive kit actually are. On a satellite link or one bar of LTE, the camp keeps its own record and sends a summary when the line allows.

Transfers, game drives and the vehicles between them

For many properties the fleet is the second cost after wages and the least controlled. Tracking gives the desk a real arrival time for an airport transfer, and the owner distance by vehicle, idling and route deviation. Fuel drawn reconciles against distance travelled, and services fall due on kilometres.

A wage bill that moves with the season

Occupancy swings between peak and green season, and the casual headcount swings with it. Facial recognition at the staff entrance turns arrival and departure into an attendance record that feeds payroll, so hours are counted rather than argued. Payslips and contract expiry dates go out on WhatsApp, which reaches a staff village better than email.

Agents, vouchers and the paperwork of a season

Inbound operators trade on vouchers, rooming lists, allocation releases and commission, most of it arriving as PDFs and re-typed by hand. Document automation reads them and produces bookings, invoices and statements against the right contract rate and currency. At season end, who owes what is a report rather than an afternoon with a highlighter.

Site assessment, week zero

We walk the operation with reception, housekeeping, kitchen, gate, workshop and back office, documenting cameras, network, power, tills, trackers and the diary bookings live in — then name the one bottleneck worth fixing first.

Integration, weeks one to three

We connect what you own rather than replacing it: cameras, point of sale, trackers, accounting, HR records and your WhatsApp number. Through this stage the system observes and may not act, so you can check what it sees against what you know.

Rules and guardrails, week four

Who may discount and by how much, when a provisional hold is released, what a voucher must contain to become a booking, which alerts wake a manager at night — tested against last season's bookings before go-live.

Go live and optimise, week five onward

Departments switch over in sequence, each team trained on its own screen, with weekly reviews while it settles. A first system typically takes about four to six weeks, then tuning follows the season.

Questions buyers ask

We are a small lodge with a diary and a till. Is this aimed at us?

Yes, if we start narrow. Properties this size usually begin with one thing — after-hours enquiries, housekeeping and folios, or staff attendance — and add the next once the first earns its keep. Highlands House, a thirty-six room boutique lodge in Harare, is the full operating system we are building now, and that build is in progress rather than finished.

Our camp has satellite internet that drops for hours. Will any of this work?

It is designed for that. The camp keeps its own record on site, so check-ins, stores, attendance and vehicle logs continue through an outage and reconcile when the link returns. What travels to head office is a summary, not raw video.

Guests are customers, not subjects of surveillance. Where is the line?

Cameras stay where they already are — gates, yards, stores, car parks — and the uses we build are back-of-house: deliveries, stock, attendance, vehicles. Facial recognition is for staff access and attendance, not guest profiling.

Who holds the guest and staff data, and where does it live?

You do. It runs in your environment or a dedicated tenant, you are told where it physically sits, and retention is agreed before go-live. The AI components work from verified records and escalate anything uncertain to a named person.

What does it cost, and must we replace what we have?

Working systems are integrated, not ripped out; replacement is a later decision, on evidence. Price follows scope after the site assessment. We do not quote a property we have not walked, because a lodge with fibre is different work from a camp on a generator.
