Every lead, quote and follow-up in one place

InOne CRM is our customer relationship management system: one shared place where every enquiry, conversation, quote, appointment and payment reminder lives, whoever handled it. It removes the problem most sales teams here live with: the real sales record sits scattered across personal WhatsApp accounts, a call register, a notebook and three versions of a spreadsheet. When an enquiry is visible only to the person who received it, the business cannot follow up reliably, cannot forecast, and loses the relationship the day that person leaves.

Built around where enquiries actually arrive

In Zimbabwe and across the region, buying conversations start on WhatsApp, on a Facebook or Instagram message, on a call to a mobile number, or at a counter. Very few start in an email inbox, which is why a CRM built around email alone rarely fits how teams here sell. InOne CRM pulls these channels into one customer record, so a WhatsApp enquiry on Monday and a walk-in on Thursday are visibly the same person.

A pipeline that matches how your team really sells

We configure stages around your actual sales process rather than a generic template: for a workshop that may run enquiry, vehicle inspected, quote sent, parts confirmed, job booked; for an equipment supplier, site visit, pro-forma issued, payment arranged, delivery scheduled. Every deal carries an owner, a value, a next action and a date, so a manager can see without asking anyone which quotes are ageing and where work is stuck between departments.

One inbox, one thread per customer

The unified inbox brings WhatsApp, email, SMS, social messages and logged calls into a single conversation thread against the customer. A colleague picking up a query while the owner is on site can read what was already promised instead of asking the customer to repeat themselves. Handovers are safe too: when a salesperson resigns, the history, the pricing discussed and the commitments made stay with the business.

Quotes, invoices and getting paid

Quotes and pro-forma invoices are raised from the same record as the conversation, in the currency the deal is priced in, so nobody re-types customer details into a separate document. Accepted quotes convert to invoices, and overdue balances trigger a polite scheduled reminder on the channel the customer actually reads. Where you already run an accounting package, we push the finished document across rather than asking finance to change systems.

Follow-up, campaigns and dormant customers

Revenue in this market is often lost to silence rather than to a competitor. InOne CRM automates the follow-up sequence after a quote, the service reminder at the right interval, and the reactivation message to customers who have not bought in months. The same engine sends review requests after a completed job, so your public reputation reflects your good work and not only your loudest complaints.

Realistic about power, network and data cost

The system is used from phones as much as from desks, by people on site, on the road, or working between load-shedding windows. Screens stay light on mobile data and actions queue rather than fail when a connection drops. It is the same discipline behind the Front Door WhatsApp concierge we run in production for Harris Auto, where messages had to keep flowing under real Zimbabwean network conditions.

What it covers

Shared customer record

One record per customer holding conversations, quotes, appointments and payment history, visible to everyone who should see it. No more asking three people who last spoke to this client.

Automated follow-up

Rules chase quotes, bookings and renewals on a schedule you approve. The reminder still goes out when your team is flat out or short-staffed.

Calendars and bookings

Customers book service slots, site visits or appointments against real availability, with confirmations and reminders sent automatically to cut no-shows.

Multi-currency quoting

Price and issue documents in the currency each deal is actually done in, with your own templates, terms and banking details on every quote and invoice.

Reporting managers trust

Pipeline value, conversion by stage and response times come from the system of record, not a weekly spreadsheet each rep fills in from memory.

How it works

01

Sales assessment

In week zero we sit with the people who answer enquiries and watch a real day: where leads arrive, what gets written down, where deals die. We document the numbers, inboxes, price lists and accounting systems you already use.

02

Connect and import

Over weeks one to three we connect your channels and calendars and import the customer history you have, however messy. The system observes and records before it is allowed to send anything to a customer.

03

Rules and guardrails

In week four we agree pipeline stages, follow-up timing, approval limits, message templates and tone, and which situations must escalate to a person. These are tested against your real historical deals before go live.

04

Go live and tune

From week five the team works in the system, with short training sessions for sales and admin staff. We review weekly at first, tuning stages and message timing around what customers actually respond to.

Questions buyers ask

Do we have to change our phone numbers or ask customers to message somewhere new?

No. We work with the business numbers your customers already have, and reps can keep messaging from their handsets while the business keeps its own copy of the conversation. The daily job for a salesperson stays simple: a list of who to contact today, and a thread to reply in.

Will it work with our accounting system?

In most cases yes: quotes and invoices raised in the CRM reach your finance system without re-capture. Where an older or purely local package offers no integration, we agree an export routine instead, and we say so at assessment rather than after signature.

What happens when a salesperson leaves?

Their pipeline, conversations, quotes and commitments stay in the business account, and an administrator reassigns them to another owner. For many businesses this alone is the reason to put a shared system in place.

How long does implementation take?

A first working system is typically four to six weeks from assessment to go live, depending on how many channels and how much historical data are involved. Additional automation is added after the team is comfortable, not all at once.

Where does our customer data live?

In your own environment or a dedicated tenant, with an agreed retention period and controlled access. You are told where the data sits and who can reach it before anything is migrated.
